We were lucky to catch up with Kelsey Castrey recently and have shared our conversation below.
Hi Kelsey, thanks for sharing your insights with our community today. Part of your success, no doubt, is due to your work ethic and so we’d love if you could open up about where you got your work ethic from?
My work ethic is deeply rooted in the environment I was raised in. My parents modeled ambition and embraced challenges as opportunities for growth. As a professional, I quickly learned the importance of resilience and adaptability—qualities that have shaped my approach to both business and life.
As a single mom, I am the one responsible for finding solutions at home, and that same mindset carries into my work. I pivot quickly, problem-solve efficiently, and focus on creating paths forward that serve all parties. Running a small (but mighty) business means embracing unexpected twists, and I thrive on staying composed, organizing details, and balancing competing priorities to ensure a seamless experience.
In the Pacific Northwest, weather is a constant variable for outdoor weddings. When couples have a vision for their perfect day, it’s my job to bring that vision to life while ensuring a comfortable experience for their guests. Preparation, flexibility, and creative problem-solving are key.
Above all, I have a strong sense of responsibility, which continues to fuel my dedication to my work. Challenges don’t deter me—they drive me to find solutions, adapt, and deliver with excellence.

Let’s take a small detour – maybe you can share a bit about yourself before we dive back into some of the other questions we had for you?
In 2022, I embarked on this new journey—one fueled by a desire to rediscover joy in my work and create meaningful experiences for others. I founded my wedding and special event planning business, dedicated to helping couples and clients bring their event visions to life with precision, care, and creativity.
My role goes beyond logistics; it’s about developing a clear event vision, identifying key priorities, and providing thoughtful guidance at every stage of the planning process. With years of experience in executing both intimate gatherings and large-scale special events and weddings, I take pride in anticipating client needs, exceeding expectations day of, and fostering strong collaborations with vendors.
My passion extends beyond events. Giving back is a priority, and I proudly serve local nonprofits, using my skills to support and uplift my community. I get inspired by those that choose to serve and work with their heart first and cannot wait to see what new collaborations are in store for my business!

There is so much advice out there about all the different skills and qualities folks need to develop in order to succeed in today’s highly competitive environment and often it can feel overwhelming. So, if we had to break it down to just the three that matter most, which three skills or qualities would you focus on?
Adaptability & problem-solving is key in this business. These qualities require the ability to pivot quickly when things don’t go as planned. Weather changes, vendor delays, or last-minute adjustments are inevitable, and staying calm while finding creative solutions is key.
Advice: If you’re early in your journey, embrace challenges as learning opportunities. Get comfortable thinking on your feet by exposing yourself to real-world problem-solving. Consider volunteering at events, shadow experienced professionals, and or read books in the industry to understand handling unexpected scenarios.
Clear & compassionate communication is a must. A successful event planner needs to communicate effectively with clients, vendors, and committees, all while balancing different personalities and expectations. Being able to listen, set clear expectations, and resolve concerns with kindness is essential.
Advice: Hone your communication skills by practicing active listening and setting clear boundaries early on. Take notes in every meeting, prepare an agenda for every meeting, write down thoughts right away after each meeting.
Organization can help reduce anxiety during the planning process and be prepared for the day of.
Event planning is about managing countless moving pieces—research, timelines, contracts, budgets, and guest experiences. An organizational system can make the difference between a smooth event and a stressful one.
Advice: Develop a structured workflow that works for you. Utilize planning software, checklists, and templates to stay on track. Shadow experienced planners or take project management courses to refine your ability to juggle details efficiently.
For those just starting, be patient with yourself. Each event will teach you something new. Surround yourself with mentors, seek feedback, and never stop refining your craft. Leading with kindness, adaptability, and professionalism will set you apart and make your journey both fulfilling and successful.

Who has been most helpful in helping you overcome challenges or build and develop the essential skills, qualities or knowledge you needed to be successful?
I’ve been fortunate to have mentors in the event industry who generously shared their experiences, wisdom, and strategies for overcoming challenges. Whether it was managing difficult clients, handling last-minute changes, or refining my business processes, their guidance helped me avoid many common pitfalls and grow with confidence.
If you’re early in your journey, seek out mentors who align with your values. Join networking groups, attend industry events, and don’t hesitate to ask questions—most experienced professionals are happy to share their knowledge and support those who are eager to learn.
Beyond mentorship, fellow small business owners, vendors, and event professionals have been invaluable allies. Through collaboration, shared experiences, and mutual support, I’ve been able to refine my approach, problem-solve effectively, and build a strong reputation in the industry.
Surround yourself with people who inspire, challenge, and uplift you. Invest in meaningful relationships—whether it’s with mentors, colleagues, or fellow entrepreneurs—because a strong, supportive network is one of the most valuable assets on the path to success.
